CLUB ROLES: BOARD & COMMITTEES

ROLES:  BOARD OFFICERS & DIRECTORS

 

President:  (Edel Schmidt)

Provides leadership and coordinates tasks. Chairs all general club and board meetings.  Attends the OHA District meetings and the OHA annual Conventions.

 

1st Vice-President:  (Lissa McCulloch)

Assumes the duties of the President in his/her absence.  Chairs and/or participates in committees to acquire a thorough understanding of the Club’s activities, while in training for presidency.

 

2nd Vice-President: (vacant)

 

Past President:  

Acts as a consultant for one year following presidency. 

 

Secretary:  (Kimberlay Oly)

Records and circulates minutes of Board meetings.  Keeps a record of non-financial business transactions. This position is appointed by the Board of Directors.

 

Treasurer:  (JoAnn Drennan)

Handles receipts and disbursements of monies and makes bank deposits. Keeps proper financial books and prepares financial reports for auditors, club meetings, the OHA, Canada Revenue Agency and for grant applications. This position is appointed by the Board of Directors.

 

Directors:  (Nancy Dawson, Patricia Fagan, Christine Fry, Ron Mitchell, Linda Morris, Manuela Neto, Margaret Ramsay.)

Each Director attends the Board meetings and chairs or co-chairs one or more Committees. 

 

Auditors: Micheal Gibson and Paul Schmidt.

These positions are appointed by the Board of Directors.

 

 ROLES:  COMMITTEES

 

In general, each Committee is responsible for providing a monthly status update to the Board and for communicating details of specific events and activities to the President, Newsletter Editor, Publicity and the Website committees.

Committees can be headed by 1-2 members, the Chair(s), and often include other club members.

 

Awards:  (Anne Clark-Stewart and Carol Harron)

Identifies members worth recognition and grants awards.

 

Bus Tour:   (Margaret Ramsay)

Organizes an annual day trip for the members.

 

Communications Committee: (Phone: Ron Mitchell; Email: Manuela Neto)

Email: Manuela sends out reminders via email to the membership about monthly meetings, the annual plant sale and annual garden tour.

Phone: Once a year in June, a team of volunteer members guided by Ron, each calls 20-50 past garden tour visitors to inform them of the Garden Tour.  (More volulnteers are needed).

 

Community Projects/Civic Programme:  (The position of Chair is VACANT)

- Port Credit flower bed  (headed by Edel Schmidt and Manuela Neto)

- Streetscape  (represented by Patricia Griesser)

- Riverwood Conservancy (represented by Linda Morris & Kimberlay Oly)

- Art Gallery of Mississauga (represented by Lotte Bruner); Cloverleaf Flower Committee provide floral designs for the exhibit openings

 

Draw:  (JoAnn Drennan)

Operates the Draw at the general meetings, ensuring there are prizes through donations and/or purchases. 

(1-2 volunteers welcomed)

 

Flower Show:  (Celia Roberts, Marie Decker, Anne Clark-Stewart)

Oversees the operations of the Club’s flower shows, including set up, cleanup, point lists, arranging for judges, and producing show schedules. 

(Members needed to help set-up the flower show at each meeting. All members are welcome and encouraged to participate in this show.)

 

Garden Tour:  (The position of Chair(s) is/are VACANT)

Manuela Neto and Lissa McCulloch have stepped down from the role of Chairs.

The role involves coordinating and carrying out the following duties:  scouting for gardens, planning the route, producing the programme guide, liaison with ticket vendors and participating homeowners, scheduling garden sitters and running the "show" on the day of the tour. 

(A committee member(s) is needed to head the Draw/Silent Auction on the day of the Garden Tour.)

 

Junior Programme:  (Kimberlay Oly)

Selects and works with local public schools.  Assists with teaching about gardening , helps sudents beautify school property and develop a love of gardening. 

 

Library:  (Ron Mitchell)

Responsible for the library cart.  Keeping records of book loans, returns and overdue books.

 

Membership:  (Linda Morris)

Responsible for maintaining a current membership list, collecting annual dues, and printing mailing labels for membership correspondence.

(Linda welcomes 1 members to assist her at the club meetings, giving out the newsletter.)

 

Member Greeter:  (The position of Chair is VACANT)

Greets members and visitors at the monthly meetings, explains the format of the meeting and shows them the facilities. (Members needed in this role, to take turns.)

 

Newsletter:  (Christine Fry)

Compiles the monthly newsletter from member contributions, sends it to the printing company and distributes them. 

 

Nominating Committee: (Ron Mitchell and Lissa McCulloch)

 

 

Plant Sale:  (Edel Schmidt)

Duties include obtaining permits for the chosen event location, ordering tables, and soliciting plant donors, diggers and potters.  (The sale has been taking place in the parking lot at the Cawtha Community Centre, since 2010.)

 

Premiums: (Edel Schmidt & John and Jo Badali)

Select and purchase premiums (usually spring bulbs) and distribute them for free to the membership at the September and October meetings.

 

Programme:  (Edel Schmidt)

Finds and schedules the guest speakers and introduces them at the club meetings.

 

Publicity:  (Manuela Neto & Raluca Popov)

Publicizes Club events and Club meetings through free venues, such as newspapers, magazines, and community websites.  Most of the communication is done via email.

(Manuela welcomes the assistance of 1-2 membersPublicity and/or marketing experience would be nice, but is not required. Must have a computer and be comfortable using email and Microsoft Word.)

 

Social Convenors:  (Sharon Kondrat & Mike Farion)

Provides refreshments at the meetings, including the purchasing of supplies.

 

Social Secretary: (Christine Says)

Sends get-well cards to a hospitalized members and sympathy cards or flowers to the family of a member who has passed away, in accordance with the guidelines set in the club’s Bylaws. 

 

Yearbook:  (Margaret Ramsay & Edel Schmidt)

Collects material from club members, compiles the yearbook, sends it to the printing company and distributes them.  

 

Website:  (Manuela Neto)

Maintains the club's web pages.
