OHA Spring 2010 Board meeting notes

Diversity Awareness

Speaker Bruce Druett of OMAFRA spoke to the board about Diversity Awareness and took board members through discussions and activities about diversity.

Treasurer's Report

Treasurer's letter of credit

The fee for the Letter of Credit Agreement shall be a one time calendar fee paid by the society. When a new Letter of Credit Agreement is received during the calendar year for which a fee has already been paid, there shall be no additional fee payable. For example at the start of the year a society's treasurer would submit a letter of credit and pay a fee. If, during the year, the treasurer was replaced, a new treasurer would submit a new letter of credit. Since the fee was already paid earlier in the year, no additional fee would be payable.

A letter of Credit Agreement shall be submitted to OHA for each Treasurer and/or Assistant Treasurer of a society or district and the term of the Letter of Credit Agreement will be for the calendar year in which the agreement is submitted.

The Security of the letter of credit is a maximum of $15, 000. If a society has more than $15,000 in financial assets the treasurer should seek additional security to cover the amount above $15,000.

Constitution, Bylaws and Resolutions

The date for the submission of resolutions for consideration at the Annual General Meeting is now May first or 60 days prior to the AGM whichever comes first. Proposed resolutions to update the constitution were discussed.

Conservation and Environment

A guide to planting for pollinators is on its way. That project is almost complete and will be ready for the convention. When we can find a friendly printer or printing dollars, we will print enough copies for every delegate at the convention.

Youth Newsletter and Survey

Survey findings about the Youth newsletters were discussed. Youth clubs must fill out their activity forms in order to apply for club grants.

Membership

The board discussed the overall membership levels in the association. Each district was asked to work with each society to put a plan and goals in place to grow membership. A challenge was issued to all districts to get membership growth plans in place with each Society.

Further notes

  • All Board and Committee Reports be submitted 7 days prior to meeting or copies provided for meeting
  • The For Love of Gardening show is no more, it is now the Peterborough Garden Show.
  • Bonnie Warner reported that 82,000 people attended the International Ploughing match. If you plan to have a tent at an International Ploughing match, be prepared for a great deal of planning.
  • The OHA will provide one judging standards booklet to each 4H Club of the Ontario Agricultural Societies. (54 clubs).
  • Work proceeds on cataloguing the OHA archives and writing a new OHA history book.
  • The OHA's Organization Advisory Panel (OAP) is looking for non-board members to participate on a panel to advise on the organization, direction and future of the OHA. If you are interested, please e-mail webmaster@gardenontario.org

From the Canada Blooms Outreach team

We had flyers with society names and contact info for Districts 5, 6, 15, 16. People looking for a meeting to go to would tell us where they lived and it was wonderful when we were able to give them a specific brochure or if not that, at least give them a flyer with possible locations all spelled out.

We would suggest that other Districts consider preparing similar flyers for the future because the information is absolutely invaluable.

From the Long Range Planning Committee

The Long Range Planning Committee is planning to have a room for board members/delegates at the convention to visit and express their visions/thoughts of a “long range plan” for the OHA.

Associate members to date.

  • New: Brueckner Rhododendron Gardens, Mississauga
  • invitation: Huronia Rose Society
  • renewal: Toronto Cactus & Succulent Society; Hamilton & Burlington Rose Society.

Our other affiliations:

  • Garden Clubs of Ontario
